Event Permit

Remember – these are working plantations – you are responsible for your own safety and enter at your own risk.

For approved commercial and non-commercial recreational, educational and community or hobby activities such as sporting competitions, functions, undertaken by groups over 6 people. A fee applies.

Terms & Conditions

Hancock Victorian Plantations Pty Limited and Grand Ridge Plantations Pty Ltd (collectively “HVP”) is committed to safety. The following terms and conditions are designed to help ensure you have an enjoyable and safe experience on HVP land.

It is a condition of entry to HVP land that you as a Permit Holder (and any members of your group) agree to abide by the terms and conditions set out in the Visitor Induction Guidelines and the additional terms and conditions set out in this Event permit. You may be asked to leave HVP land if you breach any of these terms and conditions.

Instructions

Please read through the below information outlining the terms & conditions of the permit. At the bottom of the page please click the “Application Form” button and fill out the online application form. Your application will be reviewed by HVP staff and responded to within 3-5 working days.

Terms of Permit

The Permit is non-transferable and valid until the ‘end date’ specified in the Application Form, unless otherwise agreed in writing by the parties.

HVP may cancel or suspend this permit at any time for safety, fire, conservation or operational requirements.
The Permit Holder must produce the permit on request from a HVP staff member.

Additional Event Permit Conditions

Do:

Follow directions displayed on signs and instructions from HVP staff or operators at all times.

Monitor HVP’s Facebook page prior to any access for notifications of local plantation closures.

Wear and use appropriate protective equipment accepted as standard for your activity.

Follow the accepted standard safe operating procedures for your activity.

Do not:

Enter any forestry operation work zone.

Allow general public access or spectators as part of the activity unless explicitly requested and assessed as part of the Activity Plan.

Further Health and Safety Obligations

Prior to commencing any event or activity the Permit Holder must:

Present an Activity Plan to HVP’s satisfaction that includes a map, risk assessment and procedures for minimising risk.

Inspect the Proposed Area for Use to ensure you are satisfied the area is safe to conduct your activities.
Provide a safety management system to HVP’s satisfaction.

Ensure that risks to health and safety are eliminated or reduced as far as reasonably possible.

Whilst on HVP land you are responsible for safety in the ‘proposed area for use’ specified in the Event Application Form and you must ensure that you, your employees, agents, servants, contractors, subcontractors and their workers comply with all relevant provisions of the Occupational Health & Safety Act 2004 (Vic) and any regulations, guidelines or codes of practice issued thereunder.

Financial
All Event permits will attract a fee; the fee will be reflective of the type of activity, the duration and participant numbers and the Permit Holder (s) status as either a community or commercial operator.

All fees are due within 14 days of invoice.

HVP will not consider your application if you have any outstanding fees.

You agree to reimburse HVP, on request, for any damage attributable to your activities.

Insurance
The Permit Holder must demonstrate evidence of public liability insurance for no less than $10,000,000, and Work Cover insurance where applicable. The insurances must cover HVP, the Permit Holder and all sub-contractors employed by the Permit Holder in relation to the activities documented under this permit. The insurances must be effected with a reputable insurer and must be maintained until the event activities have been completed.

Warranty and Indemnity

The Permit Holder acknowledges that accessing HVP land for an Event activity may be dangerous and warrant that HVP, its officers, employees, agents and contractors are (to the maximum extent permissible at law) not liable to the Permit Holder, its related entities, dependants or legal representatives for any personal or property damage suffered by the Permit Holder.

You the Permit Holder indemnify and agrees to keep HVP, its officers, employees, agents and contractors indemnified against any loss or damage HVP may suffer arising out of your negligence or breach of these terms and conditions.
